These terms apply to trips booked directly with Mountain World Treks and Expedition Pvt. Ltd. By confirming a booking with us, you agree to the terms below.
Booking a Trip with Us
To confirm a trek, tour, or expedition, we require:
Your booking is confirmed once we have received the required documents and deposit.
The 25% deposit is non-refundable. If you later cancel your trip, this deposit will be retained as the cancellation fee.
The remaining 75% balance is payable after you arrive in Kathmandu and before your trip departure. You can pay by US dollar cash, card, or bank wire transfer. Card payments are subject to a processing surcharge 4%.
Tibet and Bhutan Trips
Trips travelling to Tibet or Bhutan by direct flight have different payment requirements. The full trip balance must be paid at least 20 days before departure.
This is necessary because permits and other arrangements for Tibet and Bhutan must be processed in advance. If full payment has not been received by the required date, we reserve the right to cancel the booking.

Any bank charges associated with sending the payment are the responsibility of the traveler. We must receive the full amount due to us.

Booking Close to Your Travel Date
Nepal trips can generally be booked up to three days before departure, subject to availability and the time required to arrange transportation, accommodation, permits, flights, and other services.
Tibet and Bhutan trips generally cannot be booked at short notice because of permit and other advance arrangements. The required payment must also be received at least 20 days before departure.
Changing Your Travel Dates
If your plans change, you can request a new travel date by giving us written notice.
For Nepal trips, we will move your booking to another available date without an additional date-change fee. The credit remains valid and does not have a fixed expiry date, so you can use it when you are ready to travel.
New travel dates are subject to availability and any applicable changes in the cost of services, permits, flights, or other arrangements.
Cancelling a Trip
Once your booking has been confirmed, the 25% deposit is non-refundable and will be retained as the cancellation fee.
If you have paid more than the 25% deposit, we will return the amount above the deposit. Refunds will normally be made using the same payment method used for the original payment, subject to any applicable bank or payment-processing charges.
Things Outside Our Control
Mountain travel can be affected by circumstances that neither we nor the traveler can control. These may include:
Nepal, Tibet, and Bhutan each have their own government regulations and tourism requirements, and these can change without notice.
If your trip is affected by circumstances outside our control, any additional costs resulting from delays, route changes, accommodation, transportation, meals, permits, rescue, or other necessary arrangements are the responsibility of the traveler.
We strongly recommend comprehensive travel insurance before coming to Nepal.
If a Trip Ends Early
Once a trek, tour, or expedition has started, we do not provide refunds for unused days or services.
This applies if a traveler leaves the trip early because of illness, injury, personal circumstances, changes in plans, or any other reason.
Any additional costs for transportation, accommodation, food, rescue, or other arrangements required after leaving the planned itinerary are also the traveler’s responsibility unless otherwise agreed in writing.
Cancellations or Interruptions Due to Events Beyond Our Control
If a trip cannot start or must be stopped because of circumstances beyond our control, such as a natural disaster, extreme weather, political unrest, government restrictions, or serious safety concerns, we cannot guarantee a cash refund.
Where possible, we will retain the amount paid as credit toward a future trip within Nepal. The credit can be used for a future trip at a mutually agreed time, subject to availability and any difference in the cost of the new trip.
Any non-refundable costs already paid to airlines, hotels, transport companies, permit authorities, or other service providers may not be recoverable.
Travel Insurance
Every traveler joining a trip with Mountain World Treks and Expedition must have valid travel insurance covering the activities and destinations included in their itinerary.
Your policy should cover:
Please check your policy carefully before travelling, particularly the coverage limits, exclusions, deductibles, and excess amounts.
If your insurance company does not cover the full cost of a claim, you are responsible for paying the difference.
Flight Delays and Cancellations
Flights to mountain regions such as Everest, Annapurna, Dolpo, Simikot, and Jumla are particularly dependent on weather and operating conditions. Delays and cancellations can occur, sometimes for one or more days.
We recommend carrying enough extra money to cover unexpected expenses during a flight delay, including additional accommodation, meals, transportation, and other personal costs.
These additional expenses are normally the traveler’s responsibility and are not included in the trip price unless specifically stated in the itinerary.
Conduct During the Trip
Travelers are expected to respect local laws, regulations, customs, other travelers, guides, porters, accommodation providers, and local communities.
If a traveler breaks local law or behaves in a way that results in detention, a fine, legal action, deportation, removal from Nepal, or other action by the authorities, all resulting consequences and costs are the traveler’s responsibility.
In such circumstances, no refund will be provided for unused parts of the trip.
Booking Through a Travel Agent or Another Company
These Terms and Conditions apply to bookings made directly with Mountain World Treks and Expedition.
If you book one of our trips through a travel agent, tour operator, online travel company, or another third party, the terms and conditions of that company may also apply to your booking.
Any payment, cancellation, refund, or other matter handled through the third party may be subject to their own policies and agreements with you.
Website Information
We make reasonable efforts to keep the information on our website accurate and up to date. However, itineraries, prices, services, schedules, regulations, and other information may change because of circumstances outside our control.
We are not responsible for changes made to website content after you have completed your booking where those changes do not alter the terms already agreed for your confirmed trip.
